Description

4c Executive, Northern Ireland’s leading headhunting firm and our affiliate company 7Twenty, are looking to appoint a new Business Support Executive to our Belfast team.

The Business Support Executive provides a consistently high standard of administrative support to the 4c team, supporting with a wide range of business activities, ensuring that all tasks are completed in an efficient and timely manner to enable the smooth running of the business.

Job Description:

  • Provide professional face-to-face and phone reception cover for all customers (clients, candidates and visitors) of 4c Executive.
  • Host clients, candidates and visitors to 4c Executive including the provision of refreshments and associated housekeeping duties. 
  • Effectively and professionally deal with enquires from both current and speculative candidates as well as current and potential clients.
  • Control all office supplies and procurement of services for the business to include office cleaning services, utilities management, general office supply management and liaison with telecoms and IT support services.
  • Request, collate and report equality monitoring information in line with Fair Employment Commission guidelines and Data Protection legislation.
  • Execution of an effective and efficient process to manage and store all incoming data to the business, including the correct and timely actioning of all GDPR queries and requests received, in line with GDPR guidelines and legislation.
  • Control all office supplies and procurement of services for the business to include office cleaning services, utilities management, general office supply management and liaison with telecoms and IT support services.
  • Upload invoices and maintain accurate books on accounts payable and receivable and daily financial entries and reconciliations. Perform daily accounting tasks such as weekly and monthly financial reporting, general ledger entries, and record payments and adjustments. 
  • Accurately upload and maintain job vacancies on 4c’s website and external job boards. Receipt and acknowledgement of all job applications to include the distribution and filing of the same.
  • Support the consultants with accurate and timely production of high value and important documentation for clients including assignment briefs, shortlist reports and CVs. 
  • Proofread all work to ensure that completed documents are delivered accurately and to the appropriate high standard.
  • Assist with organising social events for clients and candidates and attendance at the same as required.

Essential Criteria:

  • Minimum two years’ experience working in administration and within a busy office or customer service environment.
  • Detailed and methodical delivery of a high-quality administration function.
  • Excellent attention to detail and an ability to balance competing priorities and meet deadlines.
  • Experience of delivering within a high-paced and dynamic environment.
  • Excellent interpersonal and telephone skills.
  • Strong planning and organisational skills.
  • Effective team working and collaboration skills.
  • Calm, comfortable and effective under pressure.
  • Excellent attention to detail.
  • Good level of IT skills to include competent use of MS Word, Excel, PowerPoint and Outlook and Adobe

The duties detailed reflect the main responsibilities of the role, however it is not exclusive or exhaustive and you may be required to carry out other duties in support of 4c as they arise.
No recruitment or HR experience is necessary, however the individual will need to have a willingness to learn, and desire to pick up new skills.
This role is ideally suited to an experienced individual who thrives working in a small but close-knit environment, who enjoys being part of a team and excels when working on their own initiative.

Salary: Salary negotiable and dependent on experience
Location: Belfast
Hours of Work: 8:45am – 5:15pm, Monday to Friday
